Host family setup & inviting your au pair
This page explains how a host family account works, how invitations are sent, how your au pair accepts privately, and what the key access rules and restrictions are.
Important privacy concept: You can invite an au pair by email, but you do not “search” for au pairs in the system. This is intentional: it avoids accidental disclosure of whether a person already exists on the platform.
Step-by-step process
Create your host family account
When you register, your family profile and secure login are created together. You can access your dashboard indefinitely.
Host families can manage invitations and view permitted progress, but only the au pair controls sharing consent.
Buy a course, then assign it
After payment, the course appears under Purchased courses in your dashboard as Not assigned. Enter the au pair’s first name and email against that course to assign it. We then send a secure one-click acceptance link by email.
Invitations expire after a limited time (to reduce misuse). If it expires, you can create a new invitation.
Au pair accepts privately
The au pair opens the link and accepts the invitation. If they don’t yet have an account, they create one during acceptance. If they already have an account, they can log in and accept.
You are not notified of whether an au pair already existed beforehand — acceptance is the moment the family connection is created.
Family connection is created
After acceptance, your au pair is securely connected to your family account. This connection enables course access and progress tracking while keeping personal information private.
Access and sharing are always tied to a specific family-to-au-pair relationship, not to “the au pair in general”.
Consent settings (what you can see)
The au pair can set what is shared with you. Typical examples are prior training history and certificate visibility.
Changing sharing consent immediately changes what the host family can view; paid course-access rules are managed separately.
Training access starts (au pair)
Once the au pair accepts the course invitation, their limited access period begins (up to 12 months from first acceptance for that family’s purchase).
If a host family arrangement ends early or course access is revoked, the au pair can lose access immediately.
Progress tracking (host family)
In your dashboard you can see progress at a high level (latest attempt, completion %, lesson progress). This lets you confirm that the basics are covered before day one — without having to explain everything from scratch.
Retakes and re-watching are allowed. Certificates are issued when completion criteria are met.
Key rules & restrictions
Access duration
Au pair course access is time-limited and tied to a family purchase.
- Up to 12 months access for the au pair per purchase / family link.
- If the au pair switches host families, access does not carry over automatically.
- New family = new purchase (unless you later implement a transfer product).
Revocation & termination
Families control access to the courses they purchase for their au pair.
- If purchased access is revoked or expires, course access can stop immediately.
- This prevents continued access after an arrangement ends early.
- Host families can keep their dashboard access indefinitely (management + records).
Certificates
Certificate = proof of completion, not a legal qualification.
- Certificates are issued on completion and remain valid as proof of completion.
- Certificates are not revoked if access later ends.
- No guarantee of placement, visa approval, or compliance with any specific national au pair law.
Privacy
The invitation process is designed to protect personal data.
- You invite by email — you can’t browse “all au pairs” in the system.
- Whether an au pair already exists is not disclosed until they accept.
- Consent and data sharing apply only to the specific family relationship.
Troubleshooting
My au pair didn’t receive the invite
Most common reasons and fixes.
- Check the email address spelling.
- Ask them to check spam/junk folders.
- If the invite expired, create a new invitation from your dashboard.
The invite link says “invalid”
This usually happens for one of these reasons.
- The invitation expired.
- The link was already used (accepted).
- The link was copied incorrectly; make sure the full address is included.
